This one watches Gmail for new customer emails, uses an AI agent backed by a vector store built from Google Drive documents, and drafts an accurate reply automatically.
Problems
Answering customer emails accurately meant someone had to already know the answer or go dig through internal docs first. Slow replies and inconsistent answers were the result whenever that person wasn't around.
Solutions
We built an n8n workflow that keeps a Pinecone vector store in sync with a folder of documents in Google Drive, splitting and embedding every file as it's added. A separate Gmail trigger watches for incoming customer emails, hands the query to an AI agent that searches the vector store for the answer, and creates a draft reply in Gmail. A Telegram notification goes out at the same time so the team knows a new email came in and got answered.
Final Thoughts
Keeping the knowledge base and the email handling as two separate branches means updating a document in Google Drive is enough to change what the agent knows. Nobody has to touch the workflow itself to keep the answers current.
