Customer Churn Risk Scoring and Playbook Automation
N8N
Project's Category
Intro
This one checks Postgres every morning for subscriptions expiring within 30 days, then pulls in data from HubSpot, Salesforce, Pipedrive, an analytics API and Zendesk to score each account for churn risk and route it to the right playbook.
Problems
The client's customer success team was relying on gut feel and whoever happened to notice a renewal was coming up. Nothing flagged at risk accounts early enough, and every account got the same generic outreach regardless of how much trouble it was actually in.
Solutions
We built an n8n workflow that queries Postgres every morning for subscriptions expiring within 30 days, then enriches each account with data from HubSpot, Salesforce, Pipedrive, an analytics API for feature usage, and Zendesk for support history. All of that gets merged and run through a scoring engine that outputs a risk level. High risk accounts get a Trello card, a Jira ticket, a Slack alert, and a detailed email to the account manager. Medium risk gets a lighter version of the same. Low risk just gets logged.
Final Thoughts
The logging layer matters as much as the scoring itself here. Every run writes a structured record, risk score, playbook chosen, links to whatever got created, so the whole thing is auditable and easy to plug a dashboard or reporting layer into later.
