This one takes a new project record in Airtable and builds out its whole Google Drive folder structure automatically, audit photos, crew photos, and everything else that needs a home.
Problems
Every new project meant someone had to go into Google Drive and manually create the same folder structure again: a main project folder, then an Audit Photos folder and a Crew Photos folder inside it. It was the same five minutes of clicking every time, and the naming wasn't always consistent.
Solutions
We built a Make scenario that searches Airtable for a project record, creates its Google Drive folder, then creates the Audit Photos and Crew Photos subfolders inside it. It then searches Drive for any files already sitting in the wrong place and copies them into the right folder automatically.
Final Thoughts
Getting the folder structure right at the start is what keeps a growing project archive usable months later. Nobody has to remember the naming convention because the automation applies it the same way every time.
