Problems
A Calendly booking coming in meant someone had to manually add the contact to the CRM, log it somewhere trackable, and let the team know a new call was booked. Any one of those steps getting skipped meant a lead falling through.
Solutions
We built a Make scenario that watches Calendly for new events and iterates through the booking data. It sets up the variables needed, creates the contact in GoHighLevel, and routes the record through a data store so nothing gets duplicated. From there it creates a matching record in Airtable and posts a message to Discord so the team sees every new booking in real time.
Final Thoughts
Running everything through a data store before syncing to Airtable and Discord keeps the same booking from getting created twice if the scenario ever reruns. That kind of duplicate protection is easy to skip and expensive to fix later.
